Depending on how you use S Plan-Fit, we may collect:

• Date of birth
• Address
• Telephone number
• Email address
• Emergency contact details
• Course, class, booking and attendance information
• Payment and administration information
• Health and movement information provided voluntarily through the S Plan-Fit Health & Movement Questionnaire

Client insurance

To arrange and administer your S Plan-Fit client insurance, we may collect:

• Full name
• Date of birth
• Address
• Portuguese Tax Identification Number (NIF)

This information is used specifically for the administration of the applicable client insurance and may be provided to the relevant insurance provider where necessary.

The health and movement information collected through the Health & Movement Questionnaire is separate from the insurance information and will not be shared with the insurer unless there is a specific lawful reason to do so.

3. WHY DO WE USE YOUR INFORMATION?

We use personal information where necessary to:

• Respond to enquiries
• Manage bookings, courses and attendance
• Provide and administer S Plan-Fit services
• Process payments and administration
• Communicate with clients about their sessions
• Adapt exercise instruction to relevant individual movement needs
• Support safe participation in exercise
• Administer client insurance
• Meet legal, accounting, insurance or other applicable obligations
• Protect the rights and legitimate interests of S Plan-Fit and its clients

Personal data will only be used for appropriate and relevant purposes and will not be collected or retained unnecessarily.

4. HEALTH INFORMATION

Health and movement information is special-category personal data under the RGPD and is given additional protection.

The S Plan-Fit Health & Movement Questionnaire is used to help understand relevant individual needs and adapt exercise instruction appropriately. It is not a medical assessment or diagnostic service.

Only information relevant to participation in exercise should be provided.

Where explicit consent is the applicable legal basis for processing health information, this will be requested separately through the Health & Movement Questionnaire.

Health information will be treated as confidential and accessed only where necessary for the purposes explained above, subject to applicable legal requirements.

5. HOW DO WE PROCESS YOUR INFORMATION?

S Plan-Fit processes personal data only where there is a lawful basis under the RGPD, which may include:

• Providing services or administering a booking or agreement
• Complying with a legal obligation
• Protecting legitimate interests
• Consent, where consent is the appropriate legal basis

Where consent is used, it will be requested separately, clearly and for a specific purpose. Consent may be withdrawn at any time where consent is the legal basis for the processing.

6. WHO MAY RECEIVE YOUR INFORMATION?

Your information will only be shared where necessary and lawful.

This may include appropriate service providers used by S Plan-Fit, such as website, booking, payment, email or IT providers, as well as:

• The relevant insurance provider for the administration of client insurance
• Professional advisers where necessary
• Authorities or other organisations where disclosure is required by law

S Plan-Fit will take appropriate steps to ensure that third parties processing personal data on its behalf provide appropriate data-protection safeguards.

7. HOW LONG DO WE KEEP YOUR INFORMATION?

Personal information is kept only for as long as necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.

Information may need to be retained for the duration of your relationship with S Plan-Fit and afterwards where necessary for legal, accounting, insurance or other legitimate purposes.

Health information will not be kept indefinitely and will be retained only for as long as reasonably necessary for its purpose or where retention is required by law.

8. YOUR RIGHTS

Subject to applicable legal conditions, you have rights including the right to:

• Access your personal data
• Correct inaccurate or incomplete information
• Request deletion of your data in applicable circumstances
• Request restriction of processing in applicable circumstances
• Object to certain processing

Requests are normally answered within one month, although this may be extended where permitted by law.

S Plan-Fit may send information about classes, courses or S Plan-Fit activities where permitted by law.

Where consent is required, marketing consent will be requested separately from information necessary to provide your S Plan-Fit services.

You may withdraw marketing consent or unsubscribe from marketing communications at any time.

10. WEBSITE & COOKIES

The S Plan-Fit website does not use tracking, analytics or advertising cookies.

The website uses Google Fonts (DM Sans) to display text. When you visit, your browser connects to Google's servers to load this font. No personal data is stored or tracked by S Plan-Fit as part of this process. For more information, see Google's Privacy Policy at https://policies.google.com/privacy.

Strictly necessary cookies or similar technologies may be used by the website platform to operate the site. These do not require your consent.

11. DATA SECURITY

S Plan-Fit takes appropriate technical and organisational measures to protect personal information against unauthorised access, loss, alteration, disclosure or destruction.
